secretary

The secretary is part of the board of the association and together with the chairman and the treasurer forms the daily management. At the next General Members' Meeting (GMM), on November 18, 2022, Inge van der Hoeff will stop as a board member and therefore also fulfill the position of secretary. We are therefore looking for a new secretary.

What does the job involve:

The secretary leads the entire association, i.e. the management of a football association and ensures that the sport (both performance and recreational) can be practiced and that sportsmanship is practiced and propagated as a team. The Board of Directors is advised by all committees.

Tasks:

• Serves as postal address for Victoria Boys and ensures forwarding to the appropriate persons or bodies for which the mail is intended.
• Is responsible for handling incoming mail and forwarding it to the relevant officer or team.
• Signs, sends and keeps copies of documents on behalf of the board. E.g. contracts for artificial grass, Passerel and four-day walking.
• Maintains the association archive and manages official documents such as contracts and deeds of incorporation.
• Maintains a list of merit and honorary members of Victoria Boys.
• Ensures the invitation of the General Members' Meeting (GMM) and takes care of the minutes.
• Notes the action points and decisions from the board meeting.
• Reports on the past association year at the General Members' Meeting.
• Takes note of the regulations of the KNVB and the municipal ordinances and other provisions.
• Maintains contact with the KNVB.
• Is the point of contact for other associations.
• Ensures mutations of new and retired board members towards the Chamber of Commerce.
• Takes care, together with the other board members, for information from the board to the members.
• Keeps track of the Victoria Boys activity calendar.
• Manages the reservation of fields for seniors to play exhibition games).
• Occasionally runs administrative services on Sundays in consultation.
• Makes a schedule for the administrative services on Sundays (morning and afternoon at 1st).
• Takes care of joys and sorrows with regard to the death of a member, illness or other special events.

What do you need for this:

The secretary is a person who keeps an overview, works accurately, sets priorities and has good communication skills.

How much time does that take me:

On average, filling this position takes about 3 to 4 hours per week. The position can also be divided by several people.
