Who this policy is for

Volunteers who create an account on volunteer.deedmob.com, and visitors to the platform. If you are a contact at an organisation, partner or customer, our website privacy policy at deedmob.com/privacy-policy applies.

Using another organisation's platform?

Many volunteer centres, councils and charities run their own volunteer platform on Deedmob technology. On those platforms the organisation running the platform is the controller of your data and Deedmob processes it on their behalf. Their privacy statement, published on that platform, applies.

What data we collect

  1. Account data: name, email address and password (stored encrypted).
  2. Contact data: phone number, if you add it.
  3. Profile data: language preference, interests, availability and skills, and, if you choose to add them, postcode and city, gender and a profile photo.
  4. Activity data: applications to volunteering opportunities, matches, messages with organisations, event participation, attendance you report and volunteer hours.
  5. Technical data: IP address, timestamps, login logs, browser and device type.

Why we use your data and on what basis

We use your data for the following purposes.

To provide the platform (contract).

We use your data to create and manage your account, to match you with volunteering opportunities and send you suitable vacancies, to share your profile and application with organisations you apply to, join or follow, and to let you exchange messages with them. We also use it to show your attendance at activities and events, and to send you service emails, such as confirmations and changes to our service. This is necessary to provide the service you signed up for.

With your consent.

You decide whether to add your postcode and city, gender or a profile photo to your profile. If you join the volunteer pool, we send you the Deed overview newsletter.

For our legitimate interest.

We monitor security and prevent misuse to keep the platform safe, and we use statistics to improve the platform.

Where we rely on consent, you can withdraw it at any time in your account settings. You can also unsubscribe from the Deed overview through the link in every email.

How matching works

The platform compares your profile (interests, skills, availability and, if you added it, your postcode and city) with volunteering opportunities and can automatically suggest or email you vacancies that fit. This is a form of profiling. It does not lead to decisions with legal or similarly significant effects: organisations decide who they work with, and you decide what to respond to. Ignoring a suggestion has no consequences. You can change your preferences or switch off alerts in your account settings.

Who we share your data with

We do not sell your data. We share it only:

  1. With organisations you choose. When you apply to, join or follow an organisation, it can see your profile, your application and your messages, and may contact you by email. From that moment the organisation is controller of that data and handles it under its own privacy statement.
  2. With partner platforms you log in to. If you log in with your Deedmob account on a platform another organisation runs on Deedmob technology, your account and profile data are shared with that organisation from your first login.
  3. With service providers that process data on our behalf under a data processing agreement: Amazon Web Services, Google Cloud and Cloudflare (hosting, security and content delivery), Mailtrap (email), Imagekit (images), Sentry (error monitoring) and Fathom Analytics (statistics).
  4. Where the law requires it.

International transfers

Our data is primarily hosted in the European Union. Some providers may process data outside the EEA or the UK, for example in the United States. In that case we rely on an adequacy decision (including the EU-US Data Privacy Framework and its UK Extension) or on standard contractual clauses with the UK Addendum.

How long we keep your data

We keep your account, profile and activity data for as long as your account is active. If you do not use your account for 3 years, we delete it. You can also delete your account at any time in your account settings. After deletion, your data is removed from our active systems, and from backups when those backups expire. Security logs are kept for 365 days. We may keep anonymised statistics that can no longer be traced back to you. Data you shared with an organisation is kept by that organisation under its own privacy statement.

How we protect your data

Deedmob is ISO 27001 certified (certificate 2700117082026.1). We use encryption in transit and at rest, role based access control, multi factor authentication and monitoring to protect your data.

Your rights

Under the GDPR and UK GDPR you have the right to:

  1. Access the personal data we hold about you
  2. Have inaccurate data corrected
  3. Have your data deleted
  4. Restrict how we use your data
  5. Object to processing based on legitimate interest, including direct marketing
  6. Receive your data in a portable format
  7. Withdraw consent at any time

You can view, correct and delete most of your data yourself in your account settings. For anything else, email hello@deedmob.com. We respond within one month and may ask you to confirm your identity, usually by replying from the email address linked to your account. We do not ask for a copy of your ID by default. Exercising your rights is free.

If you are unhappy with how we handle your data, please contact us first.

You can also complain to the Autoriteit Persoonsgegevens in the Netherlands (autoriteitpersoonsgegevens.nl), or, if you are in the United Kingdom, to the Information Commissioner's Office (ico.org.uk), or to the data protection authority in your country.

Cookies

We do not use analytics, marketing or tracking cookies on volunteer.deedmob.com. If we store anything on your device, it is only what is technically necessary for the platform to work, such as keeping you logged in. This needs no consent. For statistics we use Fathom Analytics, which does not use cookies and anonymises IP addresses within the EU.
