Board member Treasurer (m / f)
volunteer work
This volunteer position will become vacant due to the departure of our current treasurer at the end of 2020. It concerns an average of four hours a week.
The organisation
The Gooi en Vechtstreek Animal Ambulance Foundation is a voluntary organization that takes care of the transport of sick, injured, dead and missing animals as well as the registration thereof, in the Gooi and Vecht region. Three ambulances are available for this purpose.
The function
The treasurer is part of the board of the Gooi en Vechtstreek Animal Ambulance Foundation. The board wants to be a “remote board”. It wants to limit itself as much as possible to policy-making, planning and control and external contacts, and to delegate the executive activities as much as possible.
Within the board, the treasurer is responsible for the financial management of the DAGV foundation. The executive work involved in financial management is largely carried out by the manager, the administrative assistant, the external administrator and the external payroll administrator. The treasurer oversees, coordinates and controls these activities. Financial management is organized as follows:
- Procurement process: the procurement is carried out by the manager (for larger amounts after approval of the board). The invoices are received, checked, entered into the accounting system and made payable at the bank by the manager. The treasurer approves the payments.
- Sales Process: The sales process is managed by the manager. He administers the cash sales in the journey statements and creates the overview of sales invoices to be sent from the DARP journey system. The administrative assistant prepares the invoices and takes care of the sending and entry into the accounting system.
- Accounting: accounting is outsourced to an external party. The treasurer ensures that the administrator has all necessary information.
- Payroll: the payroll is outsourced to an external party. The treasurer prepares the payroll journal entry every month and communicates this to the external administrator.
- Payments: Payments are initiated by the manager or by the treasurer. All payments are approved by the treasurer.
- Preparation of annual accounts: the end-of-year activities (determination of depreciation, transitory fees, etc.) are performed by the administrator in close consultation with the treasurer. The column balance is then generated from the accounting system. The treasurer will process this into the annual accounts in accordance with the format prescribed by the CBF.
- The annual accounts are audited by the audit committee. The treasurer maintains contacts with the financial committee.
- Drafting budget: the budget is drawn up by the treasurer in consultation with the manager.
Other activities of the treasurer include:
- Participate in board meetings and report on the financial state of affairs.
- The treasurer has a say in policy-making in general and financial policy in particular.
- Where appropriate, the treasurer acts as a representative of the DAGV to external parties (such as municipalities), especially when financial matters are involved.
